How Global SoLARK Limited collects and uses personal data, and the rights you have over it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1Who we are
This policy is issued by Global SoLARK Limited, a private limited company registered in England and Wales with company number 17373548, whose registered office is at 48 The Boulevard, Stoke-on-Trent, England, ST6 6DW (“we”, “us”). We are the controller of the personal data described here, which means we decide why and how it is used.
We are registered with the Information Commissioner’s Office (ICO) under registration number ICO registration number.
We are not required to appoint a Data Protection Officer. Our Chief Executive Officer (CEO) is responsible for data protection, and can be contacted at hello@globalsolark.co.uk.
When we process personal data on behalf of a client as part of a project, the client is usually the controller and we act as its processor. That work is covered by our contract with the client and described on our Data Protection page, not by this policy.
2What we collect
We collect only what we need for the purposes set out in section 3.
- When you contact us: your name, email address, organisation and job title if you give them, and the content of your message and any attachments.
- When you or your organisation work with us: business contact details of client and supplier staff, and the correspondence, meeting notes and contract records needed to deliver and account for the work.
- When you apply for a role: your CV, cover letter, interview notes and references. We may also ask for equality monitoring information; giving it is always voluntary and it is kept separate from your application.
- When you visit this website: our hosting provider automatically records technical information in server logs, such as your IP address, browser type, the pages requested and the time of the request. We do not use analytics, advertising or tracking tools, and we do not set cookies (see our Cookie Policy).
Most of this information comes directly from you. Business contact details may also be passed to us by your employer when it engages us, or found in publicly available sources such as your organisation’s website or professional networking profiles.
3Why we use it, and our lawful basis
Under UK GDPR we must have a lawful basis for each use of personal data.
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and requests | Legitimate interests in answering people who contact us, or taking steps at your request before entering a contract |
| Delivering services under a contract | Performance of a contract with you, or our legitimate interests in working with the organisation that employs you |
| Invoicing, accounting and tax records | Legal obligation |
| Recruitment | Taking steps at your request before entering a contract, and legitimate interests in hiring fairly |
| Equality monitoring (applicants and staff) | Legitimate interests in checking that our processes are fair, as set out in our Gender Equality Plan; providing the information is voluntary |
| Keeping this website secure and working | Legitimate interests in operating a secure website |
| Establishing or defending legal claims | Legitimate interests |
Where we rely on legitimate interests, we have considered your interests and rights and concluded that they are not overridden by ours. You can ask us for details of that assessment.
We do not send marketing emails unless you have asked to receive them, and every such email lets you opt out.
We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects.
5International transfers
Some of our service providers, including our website host, are based in or process data in the United States.
Where personal data is transferred outside the UK, we make sure it is protected, either by relying on UK adequacy regulations (including the UK–US data bridge for organisations certified under it) or by using the ICO’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
6How long we keep it
| Information | How long |
|---|---|
| Enquiries that do not lead to work | 2 years from our last contact |
| Client and supplier contracts and correspondence | 6 years after the end of the engagement |
| Accounting and tax records | 6 years from the end of the financial year they relate to |
| Unsuccessful job applications | 6 months after the recruitment decision |
| Equality monitoring information | Applicants: 6 months after the recruitment decision. Staff: while you work with us. After that we keep only anonymous totals |
| Website server logs | Held by our hosting provider for a short period under its own retention settings |
After these periods we delete the data or anonymise it so that it no longer identifies anyone.
7How we protect it
We use appropriate technical and organisational measures to protect personal data, including restricting access to people who need it, using encrypted connections, and choosing service providers that meet recognised security standards.
8Your rights
Under UK data protection law you have the right to:
